This Privacy Policy explains how Gentoo (“Gentoo”, “we”, “us”) collects, uses, and protects personal information when you visit our website, request a demo, or use our crew-operations software. We have kept it short and plain.

1. Information we collect

Information you give us. When you request a demo or contact us, we collect your name, email address, company, and anything you choose to include in your message.

Information from using the product. If your operator gives you access to Gentoo, we process the crew and operational data your operator manages, such as profiles, documents, schedules, and voyage details, on their behalf.

Information collected automatically. Like most websites, we collect basic technical data such as your IP address, browser type, and the pages you view, to keep the site secure and understand how it is used.

2. How we use information

We do not sell your personal information.

3. Who we share it with

4. Where your data is processed

Gentoo is operated from Canada and uses reputable infrastructure providers. For operators on plans that include EU data residency, customer data is stored in the region agreed in your contract. Where data is transferred internationally, we rely on appropriate safeguards such as standard contractual clauses.

5. How long we keep it

We keep personal information only as long as needed for the purposes described here, to comply with our legal obligations, or for the duration of your operator’s contract. Demo and enquiry contacts are kept until you ask us to remove them.

6. Security

We protect your information with single-tenant data isolation per operator, encryption in transit, access controls, and an audit log of actions. No system is perfectly secure, but we take reasonable steps to keep your data safe.

7. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise any of these, email us at hello@getgentoo.com. Where Gentoo processes data on behalf of your operator, we will refer your request to them.

8. Cookies

Our marketing site uses only the cookies needed to function and keep it secure. We do not run third-party advertising or tracking pixels.

9. Children

Gentoo is a workplace tool and is not intended for anyone under 16. We do not knowingly collect information from children.

10. Changes to this policy

We may update this policy from time to time. When we make material changes, we will update the date above and, where appropriate, notify you.
